We are looking for an engaged Operations Officer who brings solid expertise and a passion for FSC’s mission, to work with us in a multinational environment.

 

The Scope

The successful candidate will be responsible for providing operational support and contributing to the effective running of the FSC Europe operations.

 

Main Roles and Responsibilities

  • Provide financial and administrative support to FSC Europe, ensuring conformity with workplans and budget, and compliance with FSC standard operating procedures.
  • Coordinate the logistical organization of regional meetings and provide support with developing meeting agendas.
  • Make periodic presentations on operational, finance and administrative performance of FSC Europe.  
  • Be the unit lead on procurement: support regular procurement planning meetings and provide guidance to our field team on procurement and ensure procurement needs are completed and submitted within agreed timelines.
  • Support regional staff with travel arrangements, preparation of expense claims and meetings as required.  
  • Keep track of all contracts and agreements related to FSC Europe.
  • Be a point of contact for Network Partners and other relevant stakeholders in the region on operational topics.
  • Oversee the team’s filing system.   
  • Prepare key administrative highlights and ensure notable achievements are shared with the team.
  • Find novel ways of improving the regions reporting on performance.
  • Carry out any other duties as assigned by the supervisor.

 

Qualification, Experience and Skills

The successful candidate will be proactive, business-oriented, quick-thinking, flexible, and able to juggle multiple and diverse responsibilities with great attention to detail at all times. A high level of organization and interest in working across multiple areas of the business and cultural backgrounds is a must. We are looking for someone who can identify opportunities to make the overall team more organized and efficient. Someone who is curious, demonstrates significant initiative, and inherently exercises good judgement will be most successful both in the role and at FSC.

 

  • Working Education and Training:
    • Training or experience in business administration – i.e event organisation, executive assistant etc.
  • Working Experience, Style and Skills:
    • Committed and solution-oriented way of working.
    • Ability to work autonomously (planning, organization, prioritization).
    • Determined to own priorities/responsibilities.
    • Ability to be discrete and maintain confidential information.
    • Positive team-player who operates in a fast-paced team-oriented setting.
    • Very well organized and efficient.
    • Good time management skills: Ability to perform well while handling simultaneously a number of administrative and support functions.
    • Intercultural competences, strong interpersonal and communicating skills combined with a confident demeanor at various hierarchical levels.
    • Ability to work and exchange with a wide set of stakeholders.
    • Service provision as basic attitude, also under stressful circumstances.
    • Experience in organizing events is a plus.
    • Experience in financial administration is a plus.
  • Languages:
    • Fluency in English (spoken and written).
  • Computer Skills – good skills in the use of/experience with:
    • Advanced MS Office skills
    • Knowledgeable and/or curious on the use of Office 365 Apps
    • Knowledgeable on Business Intelligence
    • Knowledgeable and/or curios on AI and Chat GPT like programs.
  • Communication Skills:
    • Exemplary verbal and written communication skills that contribute to cohesive team efforts and decision making.
    • Active-listening skills.
    • Ability to establish and maintain positive interpersonal relations.
  • Others:
    • Commitment to FSC’s mission and values.
    • Demonstrated cultural awareness and sensitivity to the diversity of values, views and approaches to issues relevant to the FSC program by stakeholders around the world.

 

Terms and Conditions

  • Location: Bonn, Germany.
  • Working Hours: Full time - 40 hours per week.
  • Duration of Employment: Temporary contract - 2 years (extension possible, subject to satisfactory performance).
  • Starting Date: As soon as possible.
  • Travel: Sporadic travel is required.
